Director of Conferences and Events

Position Description:
Everything Farm LLC is looking for an entrepreneurial-minded Director of Conferences and Events who will be responsible for coordinating the operational aspects of its conferences. The ideal candidate has a minimum of 5 years experience working in the live events business and has experience in or a qualified understanding of the agricultural industry. He/she will report to the President and be responsible for event logistics, including recruitment and coordination of speakers, venue selection and hotel contract negotiations, managing venue-related budget including food and beverage and audiovisual costs, and overseeing onsite logistics.

The Director of Conferences and Events will also work closely with the sales and marketing teams to support promotional efforts and to assist sponsors exhibiting at our conferences. Responsibilities will include collecting sponsor and speaker deliverables pre-show, managing sponsor and speaker logistics onsite to ensure a positive onsite experience, and following up with post-event information.

This person will be based in the Peterborough office and will travel to all Everything Farm conferences to manage the events and ensure that the conferences are executed seamlessly from a logistical standpoint. He/she will work closely with all members of the Everything Farm LLC team to advance the new and growing conference business division.

Essential Job Functions:  

  • Manage and execute logistical elements of conferences
  • Recruit and manage speakers and speaker deliverables
  • Maintain budgets and track all venue-related expenses and cost savings
  • Find and select venues based on conference specs and within budget
  • Cultivate and manage relationships with hotel contacts; act as onsite point person
  • Work closely with conference sponsors on deliverables and logistics
  • Oversee and manage conference logistics onsite

 

Desired Skills & Experience
Knowledge, skills and abilities required:

  • A minimum of 5 years of experience working in an events position
  • Proven track record of successfully managing event costs to budget
  • Onsite management experience with attendees, sponsors and hotel staff
  • Very strong organizational skills and attention to detail
  • Ability to manage multiple tasks at once, especially during peak conference times
  • Enthusiasm about traveling to all conferences and as needed
  • Ability to be agile and perform other job functions in support of team efforts, if necessary
  • Knowledge of the farming and agricultural marketplace a plus
  • Bachelor’s degree required
